Workshop Admin Supervisor- Fleet

Core purpose of the role:

The main purpose of the job is to supervise all workshop administrative requirements through a centralised record keeping system

  1. Location: Mkondeni
  2. Position: Workshop Administration Supervisor
  3. Business Unit: Fleet
  4. Reporting to: Systems Administrator
  5. Closing date: 31 March 2019

    Key deliverables and outputs

    1. Accurate and timeous posting and processing of all invoices.
    2. Oversee the document control and filing system for the entire workshop.
    3. Preparation of quotations and defect reports.
    4. Communication of quotations to customers for purchase order approval and job card creation.
    5. Complete job card costing and reconciliations on a daily basis (incl. checking of stock issues and chasing up outstanding invoices).
    6. Correct errors identified on job cards on a daily basis
    7. Close jobs and ensure billing is sent to the correct customer, in accordance with purchase orders received.
    8. Investigate queries from customers regarding jobs billed out.
    9. Process all inventory received and ensure stock job cards have been closed off correctly to the designated stock codes
    10. Ensure all inventory processes have been followed in line with month end stock take according to required deadlines

    Internal customers:

    1. Service Centre Managers
    2. Foremen
    3. Functional support departments

    External customers:

    1. OEMs
    2. Suppliers

    Academic qualifications


    1. Matric/ Grade 12
    2. A diploma or degree in a related field would be advantageous


    1. Certificate of Fitness (COF)

    Work experience


    1. 3+ year of experience in a similar role within the trucking industry



    1. Advanced administrative and organisational skills


    1. Driver’s license



    1. Microsoft Office skills (Excel, Word, and Outlook)
    2. The ability to work in a highly pressurised environment
